The Role
As a cross-discipline position encompassing both project and account management, Producers at Pilot play a critical role in facilitating the work we deliver for global clients, household brands, and industry challengers. By leveraging your exceptional communication, organizational, and problem-solving skills, you remove barriers to ensure that the creative team is well-informed and has the necessary space and resources to deliver their best work on time and within budget. You will be relied upon as the bridge between business, creative, and client leadership to manage scopes, timelines, and initiatives that will drive results for our clients and our agency. As a people person, you will maintain strong relationships with our clients, internal teams, and external vendors to ensure that Pilot operates at the highest caliber.
What you'll do
- Act as the go-to point of contact for client-agency interactions, providing clear and appropriate lines of communication and management of expectations
- Collaborate with creative leadership to define phasing, timelines, milestones, decision gates, and allocation of resources to deliver projects on-time and within budget
- Collaborate with cross-functional teams to break down complexities and dependencies to develop efficient and actionable work plans
- Identify scope, timeline, workload and budgetary obstacles and proactively resolve issues before they affect forward momentum
- Maintain a broad view of daily, weekly and monthly trafficking to ensure a balanced workload while meeting business objectives
- Manage the deliverables of our clients and the partners that we contract to prevent scope and budget creep
- Facilitate weekly resourcing, status and creative review meetings and deliver regular progress reports for leadership and clients
- Prepare client meeting briefings and own their kickoff and conclusion to ensure everyone is on the same page with clear action items and next steps
- Maintain tracking and management systems and streamline established tools and processes to maximize efficiency, ease-of-use, and accuracy
- Manage the inflow and organization of project information to ensure that all team members have easy access to feedback, notes, and specifications
- Communicate regularly with creatives to ensure delegated tasks are on schedule and that challenges are elevated to the appropriate director
- Coordinate project delivery requirements, licensing agreements for creative assets, and logistics for client workshops, photo and video shoots, etc.
- Coordinate with other AM/PM/Producers to create space for collaboration across division and teams
- Track and model expectations and propose scope changes to leadership based on feasibility of initiatives
- Play an active role in building, nurturing, and growing client and vendor relationships

What you'll bring
A background in a creative agency or similar environment where high-caliber work is expected
Exceptional communication, organizational, and problem-solving skills with the ability to quickly jump between projects
An understanding of and/or desire to learn the skill sets, technical requirements and workflows of brand, digital and media projects
A people-first approach that builds trusting relationships
Familiarity with Asana or similar project management tools
Ability to work onsite in our Boston office
